E-Mail Account Policy
Hampshire College provides e-mail accounts to all faculty, staff, students, and alumns as a means of fostering communications in support of academic, research, and administrative needs. Students are provided accounts upon enrollment at the college and may retain accounts while enrolled and as alumns in accordance with the guidelines listed below.
All official correspondence from the college to students via e-mail will be sent to these accounts. Students are responsible for checking their accounts on a regular basis or for forwarding e-mail to another account. The college is not responsible for setting up, using, or forwarding e-mail to any other account.
Account Eligibility:
E-mail accounts are provided according to the following guidelines:
All active students at the college, including those on leave, on field study or in exchange programs, are entitled to an e-mail account on the college server with a n inbox soft disk quota of 75 MB (for more information, see the Student Quota Page ) Students are encouraged to delete or archive e-mail on a periodic basis.
Alums, defined as students who have completed at least four semesters, may retain accounts in perpetuity with a soft disk quota of 80 MB (for more information, see the Alum Quota Page ). As needed, students will be notified upon becoming alumns and given a month to reduce disk usage to within the 80 MB quota.
Students who withdraw from the college prior to completing four semesters may retain their account for up to one month from their withdrawal date and may request to have e-mail forwarded to a non-Hampshire account during that period. Students will be notified via e-mail one week prior to the pending account deletion date and are responsible for archiving or re-locating e-mail prior to that date.
Inactive alumn accounts, defined as those which have not been logged into for at least one year or do not have e-mail forwarded may be deleted without notice.
Current faculty and staff are entitled to accounts with a disk quota of 100 MB. They are encouraged to archive or delete e-mail on a regular basis to conserve disk space. More information about quotas for faculty and staff can be viewed on the Faculty and Staff Quota Page
Retired faculty and staff may retain an account indefinitely with a disk quota of 5 MB. An inactive account, defined as one which has not been logged into for at least six months or does not have e-mail forwarded, may be deleted after the retired faculty or staff person is notified by phone or letter.
Faculty or staff who have voluntarily terminated their employment may request to retain an account for up to one month after the last day of employment and have their e-mail forwarded to a non-Hampshire account for that period. Notification will be sent via e-mail one week prior to the pending account deletion date. The faculty or staff person is responsible for archiving or re-locating e-mail prior to that date.
Faculty or staff who have been terminated involuntarily from college employment will have his or her account deleted on the last day of employment.
Spouses, partners, other family members, or friends are not eligible for an account on the college's e-mail system.
